There are some things in life that shouldn’t be kept secret, and that’s how I feel about my time-saving tools.
They are game-changers and sanity-savers and that’s why I can’t help but share them with you.
No matter your industry or size of business, having systems that work for you will open up your time and energy for more transformational, powerful, and meaningful work.
So, without further ado, here are the time-saving tools I can’t live without:
Are you constantly following up with your staff to see if they’ve done what you’ve asked? Consider using Trello, Sharepoint, or Asana to manage how you allocate tasks and to see if they’ve been completed. With these tools, it’s easy to check in on the work and give your employees a way to consistently update you on their progress.
Human Resources Management Systems (HRMIS) are applications that manage HR functions for you, like benefits, recruiting, and basic administration. These systems can make sure you roll out new policies and procedures properly, and get the appropriate sign-off. You can build in a policy approval workflow and set deadlines or ticklers within the system – saving you a lot of time and headaches.
Measuring, delivering, and tracking performance reviews can be an overwhelming process, especially if you have a large team. Depending on your requirements and how interactive you’d like the system to be, I have a wide variety of options I can share with you. There are tools that generate entire, personalised performance reviews.
Rather than stacks of paper floating around your organisation, use Docusign or RightSignature to get contracts and proposals signed off quickly and seamlessly. Perfect uses are for employment contracts, proposals, and even policy updates.
Meeting and appointment arrangements consume a lot of unnecessary amount of time. With tools like Calendly, scheduling meetings has never been quicker and easier. It’s seamless on a mobile device and uses calendar and team integration to ensure you and everyone else is never double-booked.
A common distraction in the workplace is having non-work-related emails pop up and infiltrate our days. Utilising tools like Yammer and Slack make it easy to categorise work, communicate with colleagues via channels, and customise your notifications.
Collating information and RSVPs for events should be speedy and simple. Use SurveyMonkey or Eventbrite to invite attendees, track holiday party RSVPs, and communicate information.
Getting a pulse on your employee’s morale or gathering ideas for a project are vitally important to building a team that communicates well. SurveyMonkey makes any survey straightforward and professional.
We can also assist with running this independently for you. With management and team member summaries / briefings, and most importantly, action plans that are adopted into your overall HR and People Plan initiatives.
Other great tools, like OfficeVibe for culture or employee engagement initiatives, can be used regularly and are fun and interactive. For a free one-month trial, use my link here.
When you implement one or more of these tools, you’ll probably realise how much time you used to spend on a certain task.
You can also see how much time you’re spending on basic HR tasks by downloading this month’s HR Time Drain Calculator. And from there, you can implement the right time-saving tools.
I hope you’re enjoying this month’s download and articles. Let me know if there’s anything in the coming months you’d like to see discussed.
